How Nothex LLC collects, uses, shares and protects information in the Nothex System (the website app and the mobile apps) and on nothex.net.
Effective date: October 14, 2026
1. Who we are
Nothex LLC ("Nothex", "we", "us") runs the website nothex.net and the Nothex System, a management system for field service companies, available at nothex.net/app and as an app for iPhone and Android. A company that uses the Nothex System (our "customer") opens its account and invites its own people. For the information a company and its people put into the Nothex System, that company decides what is collected and who sees it; we process that information on its behalf, to provide the service. Nothex never charges people inside the app and does not process card payments.
2. Information we collect
- Account information: name, email address, phone number, role and, if you choose, a profile photo. The company may also add work details (start date, job title, team) and, only if it chooses, an address, an emergency contact and a driver's license number.
- Location, only while you use the app: the GPS position of the phone when you take a work photo, when you start or end a shift and, while a shift is open and the app is in use, so the company knows who is in the field. The app asks for "while using the app" permission only. It does not collect location in the background, and location is only sent after you confirm the notice shown in the app.
- Camera and photos: the app uses the camera only when you tap it to photograph a job. Each work photo is saved with its GPS location and the date and time it was taken. If you choose to attach a file or a picture from the phone, only that file is sent.
- Work records: shifts (start, end, breaks), jobs done, notes you choose to write, messages exchanged in the app and, for the company's office, payroll and payment records.
- Company information: company name and address, clients, projects, price lists, invoices and the other records a company enters to run its operation.
- Notifications: if you turn on phone notifications, a device token that lets us deliver them. You can turn them off at any time.
- Job applications sent through nothex.net: the information in the form, the résumé and the identity document you attach.
- Technical information: basic information about the device and browser, and logs needed to keep the service working and secure.
3. How we use information
- To provide the Nothex System: sign in, show each person what their role allows, record jobs, photos and shifts, and produce reports, invoices and payroll for the company.
- To send notices you asked for or that your work needs (for example, a shift that is still open).
- To keep the service secure, prevent abuse and fix problems.
- To contact you about your account or the service.
We do not sell personal information and we do not share it for cross-context behavioral advertising. We do not show ads, and we do not track you across other companies' apps or websites.
4. Sign in with Google
If you choose "Sign in with Google", Google shares with us your name, email address and profile picture. We use them only to sign you in and to identify your account. We do not request access to your Gmail, contacts, calendar or any other Google data for sign-in. We do not sell this information, share it for advertising or use it to train AI models.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
5. Who we share information with
- Your company: the people your company gives access to see the information their role allows. Technicians never see prices or other people's pay.
- Service providers that run the service for us, only to provide it:
- Supabase: database, sign-in and file storage.
- Cloudflare: website hosting and network.
- Google: "Sign in with Google" and, when a company connects it, Google Drive. Job photos are then copied to that company's own Drive folder, at the company's request.
- Resend: sending email (for example, invitations and notices).
- Anthropic: only when a company turns on the AI features, construction drawings and job photos are sent to read them and help fill in the jobs. They are not used to train AI models.
- Map and address services (OpenStreetMap, Esri and the U.S. Census Bureau): to show maps and turn an address into a map position. They receive the map area or the address being looked up, not your name.
- Apple and Google push services: to deliver phone notifications, if you turn them on.
- The law: when required by law, or to protect the rights and safety of people and of the service.
6. Where information is stored and how it is protected
Information is stored by our service providers in the United States. It is sent over encrypted connections (HTTPS) and stored encrypted at rest by our providers. Access inside the Nothex System is limited by each person's role, and the database itself enforces those limits.
7. How long we keep information
- Your account: while it is active.
- Live location: removed when the shift is closed. The location saved with a work photo, and with the start and end of a shift, is part of the work record (below).
- Work records (hours, shifts, job photos, payroll and payments): kept by the company for as long as the law requires it to keep them — for example, U.S. payroll records for at least 3 years and employment tax records for at least 4 years.
- When a company closes its account, or asks us to delete its information, we delete it within 90 days, except records we must keep by law.
- Backups rotate automatically; deleted information can remain in them for a short time until they are replaced.
8. Deleting your account
You can delete your account in the app, in Settings › My account › Delete my account (technicians: Profile › Account). If you cannot open the app, follow the steps on our account deletion page.
When an account is deleted, we remove right away your name, email address, phone number, address, emergency contact, driver's license number, profile photo, sign-in (password and Google), live location and notification devices. The work records listed in section 7 stay with the company, without your name ("Deleted person"), because the law requires the company to keep them. Documents the law requires the company to keep (such as tax and work eligibility forms) are reviewed by the company.
9. Your choices and rights
You can ask to access, correct, export or delete your personal information. If your account belongs to a company, you can also ask your company's administrator, who manages most of this information. You can turn off location, camera and notification permissions at any time in your phone's settings (some features, like work photos, will not work without them). You can stop "Sign in with Google" at any time in your Google account settings. We will not treat you differently for asking.
10. Children
The Nothex System is a work tool for companies. It is not meant for children under 16, and we do not knowingly collect their information.
11. Cookies and browser storage
We do not use advertising or tracking cookies. The app keeps your sign-in session, some preferences and the photos waiting to be sent (when there is no signal) in your device's storage, so you do not lose work and do not have to sign in on every visit.
12. Changes to this policy
If we change this policy, we will update it on this page and change the effective date above. If a change is significant, we will also let you know in the app or by email.
